What's New in PatTrac

Updates released between May and August 2026, newest first. The version number
is shown at the top of the PatTrac window, so you can check which of these you
already have.

A few updates need a step by your PatTrac administrator before you'll see them —
those are marked, and listed together at the end.


Version 26.8.29.2 — August 30

New

Your agency can choose what goes in a clinic note, and in what order.
Set the section order on the encounter type. Leave it blank, and your notes keep
working exactly as they do today — nothing changes unless you ask it to.

A clearer message when a spreadsheet is already open. Exporting to a file
you already have open in Excel used to produce a confusing error. Now it tells
you to close the file first.

Improved

Detail screens with many tabs. Tab names now wrap onto more than one
line, so tabs no longer hide behind small scroll arrows at the edge of the
screen.

Fixed

  • Filters and reports that use "a week ago" or "current user" work again.
    These had stopped matching anything, which affected saved filters, report
    criteria and color-coding rules that relied on them.

  • The FMIS document link checked one document server and then opened a
    different one.

  • Purchase order deliveries now record who entered them and when, the same as
    the rest of the system.


Version 26.8.23.3 — August 18–25

Requires an administrator step — see Before you'll see these.

New

Property records now come from the state, live. PatTrac used to load parcel
data from a file that had to be obtained and imported. That file is no longer
available, so property data now comes directly from the state's Maryland
Property View service. There are two ways to use it:

  • Look up one parcel. MDP Property Data on a property record fetches that
    parcel by account number and shows you what the state holds in a read-only
    window. Nothing is written until you click OK.

  • Refresh the whole county. Refresh Properties from MDProperty View walks
    every parcel in your jurisdiction, adds the ones PatTrac doesn't have, and
    updates the rest. It works through the county in batches, so it can run
    across a full county without running out of memory.

    A blank value from the state never wipes out information you already have,
    and a field is only marked as updated when something actually changed.

Parcels the state no longer lists are marked and struck through. After a
full refresh finishes, any account the state didn't return is flagged as
retired and shown struck out everywhere it appears. If the state starts listing
it again, the next refresh un-marks it.

If a refresh is canceled or fails partway, nothing is retired — the summary
tells you retired accounts weren't checked, rather than wrongly retiring most
of the county.

SDOH assessments arrive from the web form automatically. Social
determinants of health forms submitted online now come into PatTrac on their
own. Each submission is recorded against the patient, not an admission, so a
patient builds up a history of assessments over time. Both the adult and child
forms are supported, and a new SDOH tab on the patient record shows the
history.

Because the scoring lives in the web form rather than in PatTrac, thresholds
can be adjusted in the form without a software update.

Improved

  • Property field names now match the state's own names, with the SDAT field
    number in the tooltip, so a field on screen is easy to match to the state's
    documentation.

  • Dwelling type and construction now show their description. These were
    showing the raw combined value, such as "Frame (002)", instead of the
    description and the code in their own fields. Existing records correct
    themselves on the next refresh.

  • The Map button keeps working on parcels that haven't been refreshed yet.
    It tries the state's map address, then the coordinates, then the plat map, so
    it finds something in every case. The Establishment SDAT button does the same
    through its linked parcel, and falls back to the address you typed.

Fixed

  • The patient photo no longer shrinks to a sliver on the patient screen. It
    now has a minimum size and still grows with the window.

Please note

Some property fields have been removed because the state does not publish
them and nothing could keep them up to date: acreage, the census tract and
block group fields, and the subdivision code and description. Acreage is still
available — the state publishes it as land area with a separate unit, both of
which PatTrac now carries.


Version 26.8.16.2 — August 16

Fixed

  • "My Data" in the Rolodex menu now opens your own employee record. It
    previously produced an error and opened nothing.

  • Tags added to an encounter are dated from the admission, not from the day
    you happened to add them. A tag entered a week later used to carry the wrong
    date.

Version 26.8.16.1 was the same software republished under a new date — no
changes.


Version 26.8.15.2 — August 16

New

Booking an appointment now marks it as Scheduled. A booked appointment used
to stay marked Available, which meant the same slot could be given to a second
patient. If your clinic has no active Scheduled status set up, PatTrac now
tells you and cancels the booking rather than booking it anyway.

Improved

  • Find Appointment lists the soonest appointment first, and now has
    checkbox selection like the other pickers.

Fixed

  • The narrative preview no longer opens with all the text highlighted. With
    everything selected, a single keystroke would replace the whole note.


Version 26.8.15.1 — August 15

Improved

Add Diagnosis is now one button with a dropdown. There used to be two
separate buttons that did the same thing from different sources and never
appeared on the same screen. Now there's one Add Diagnosis with two choices:

  • From Clinic Codes — always available.

  • From Admission — shown only where your agency bills from encounter
    diagnoses, so the button now matches the rest of the form.

Fixed

  • Adding immunizations no longer hides problems. If something went wrong
    while creating an immunization record, PatTrac used to carry on silently and
    could leave a record saved without its patient, admission, or encounter
    attached — and say nothing. Because these records feed the state registry,
    this mattered. Errors now surface.

  • Items with no current lot are skipped and named, instead of stopping the
    batch partway through after some records had already been created.


Version 26.8.14.3 — August 14–15

New

Emergency contacts belong to the employee they're for. An employee's
emergency contacts are now owned by that employee's record, so removing an
employee removes their emergency contacts with them.

Improved

  • Observations in the narrative are grouped under category headings, in the
    same order the app displays them, instead of running as one flat list.
    Observations without a category are unchanged.

  • "Taken By" now appears once, above the list. It was printing twice.

  • Observation descriptions can be longer — up to 512 characters.

Versions 26.8.14.1 and .2 were withdrawn before release. 26.8.14.3 is the first
version of that day to be published.


Version 26.8.13.1 — August 13

New

Private notes on support tickets. Internal notes kept separate from the
regular notes on a ticket, so they aren't shown alongside them.

Improved

Every "Add" window now shows the patient's name in its title. The pickers
for immunizations, activities, diagnoses, education, observations, order sets,
supplies, tags, consent packets, estimates, appointments and templates all list
reference material with nothing on screen identifying the patient. The title bar
now names the patient the record is being added for, along with their sex, age
and date of birth.

Fixed

  • Duplicate immunizations are skipped, not fatal. Selecting an immunization
    the patient has already had used to close the window as though it had worked
    while adding nothing at all, and it stopped at the first duplicate. PatTrac
    now adds everything that isn't a duplicate, names what it skipped, and only
    cancels if every item selected was a duplicate.

  • Changing your assigned clinic takes effect properly. Filters that depend
    on your clinic's division kept using the previous clinic until you restarted.
    Canceling the edit no longer leaves the wrong clinic active either.


Version 26.8.4.2 — August 9

The largest update of the summer: a new secure messaging integration, and a
broad speed and accuracy pass across the application.

New

  • Direct secure messaging.

  • Dental treatment plan actions from the admission.

Improved

PatTrac is noticeably faster to move around in. Opening almost any screen
used to run extra database work that wasn't needed — in some cases the same
query twice, and in others a query every single time a screen was opened.
Inventory, receipt, purchase order and birth receipt lists in particular used to
load far more than they needed to. Screens that felt like they hung should now
open promptly.

Fixed

  • All four View Options actions work again. Save view as, Update view,
    Update default view and Delete view were all failing.

  • Purchase Order and EH Receipt lists no longer error when a record has no
    lines on it.

  • Automatically assigned numbers are handled correctly. Ticket numbers,
    receipt numbers, policy numbers, septic permit IDs, order numbers, and
    immunization order numbers were not all being left to the system to assign.

Please check

Birth receipt balances have changed. Miscellaneous charges were being
counted twice in the balance. Any birth receipt with a miscellaneous charge on
it will now show a lower balance than before. The new figure is the correct
one, and it now matches how death receipts have always been calculated.


Version 26.6.20.2 — June 20

A large internal maintenance and speed update, with substantial work on
electronic claim generation. Little of this is visible on screen.


Version 26.5.21.1 — May 21

An upgrade of the internal components PatTrac is built on. No functional
changes.


Version 26.5.4.1 — May 4

New electronic claim generation for professional (837P) claims, replacing the
older payment handling. (Not currently available for all agencies)


Two things worth telling your staff

  1. Birth receipt balances with miscellaneous charges now read lower (from
    26.8.4.2). This is a correction, not a loss of money — the old figure
    double-counted the charge.

  2. Some property fields are gone (from 26.8.23.3) because the state no
    longer publishes them. Acreage is still available, recorded as land area
    with its unit.
