PatTrac Release Notes - 11/01/2026
Summary
These notes cover everything since PatTrac 26.10.4.1, up to and including PatTrac 26.11.1.1. Some of these changes reached your agency during October; the rest arrive with 26.11.1.1. Highlights: immunizations now go to ImmuNet as soon as they are saved, pronouns show with the patient's name, signatures are captured in PatTrac's own window, web forms open inside PatTrac, children's BMI percentile is calculated for you, and there is a new history of septic system pumping. Your copy of PatTrac updates itself the next time you start it, or when you choose Yes on the update bar.
Immunizations go to ImmuNet as soon as they are saved
Until now, only Add Immunizations sent doses to ImmuNet on its own. Immunizations entered any other way waited until someone sent them by hand, and many were never sent.
Every immunization is sent when you save it. Once an immunization has a patient, a vaccine and a date, saving it sends it to ImmuNet. As before, it is marked as sent only when ImmuNet accepts it. If ImmuNet cannot be reached, you are told, and your save is not affected.
Send Unsent to ImmuNet. On the Patient Immunizations list, a new Send Unsent to ImmuNet action sends every unsent immunization from a date you choose up to today, one patient at a time. It finishes with a report of anything ImmuNet did not accept.
Dosages like "0.5ml" are now accepted. Many clinics type the unit into the Dosage field. ImmuNet rejected those doses as an invalid amount. PatTrac now sends the number and the unit separately, so they are accepted.
Duplicates stop being sent over and over. When ImmuNet already has a dose, it says so. PatTrac now marks that dose as sent even if another dose in the same message has a problem, so it is not sent again every time.
Clearer results. The ImmuNet result window now shows the patient and each immunization sent (date, vaccine, lot), and whether each one was marked as sent. Long results scroll instead of running off the screen, and a Copy button copies the whole report.
Patient email addresses that are not real addresses (such as "NONE") are no longer sent, which removes a common warning.
CECIL clinics' doses from Add Immunizations are now sent automatically, the same as every other agency.
Pronouns with the patient's name
The patient's pronouns now appear after their name everywhere the name is shown, including the appointment schedule and the appointment screen, so front desk staff can see them at a glance. Existing appointments pick up the pronouns the next time they are saved.
No more accidentally erased names
When a record opened, the first field's text was selected, so a single keystroke could replace it. This was most noticeable when opening a patient from an admission, where Last Name was selected. Records now open with the cursor at the end of the first field and nothing selected. Tabbing between fields still selects as before.
Signatures
Signatures always go on the record you are signing. Previously, a signature could be saved to whichever record was saved next. Each Sign button now waits for the signature and puts it on its own record.
A new signature window. Signing now opens PatTrac's own signature window. It works with Topaz signature pads, including the older BSB (serial) pads, and with a mouse, touch screen or stylus when no pad is connected. Save is available only once something has been signed, so a blank signature cannot be saved. Computers that need the older signature program still use it automatically.
Web forms inside PatTrac
Open Form opens the form inside PatTrac instead of in your web browser. Completing it there saves the answers just as the website does, so Import works as usual, and a PDF copy of the answers is saved to the request's Documents. Forms that have already been completed or imported open read-only.
Flu clinic and school clinic imports fill in the admission date. Some imports left the admission date blank. It is now taken from the clinic date on the form. Flu clinic imports also link the request to the encounter they create.
Import All Raw Data no longer stops when a request holds something other than form answers; it skips those and names them at the end.
Clinic
BMI percentile for children. Observations now show BMI %, the CDC BMI-for-age percentile, for patients aged 2 to 19. It updates as you type height and weight, appears under BMI on the encounter's Vital Signs tab, and is included in the encounter narrative. A child at or above the 85th percentile is highlighted. The field previously captioned "BMI Percentile" actually held the BMI, so it is now captioned BMI.
Encounter sub types. An encounter type can now have sub types. Tick Include Encounter Sub Types on the encounter type, and a Sub Type field appears under Type on encounters of that type.
Vital Signs tab. Smoking Note and Staff Notes now have room for three lines.
Group encounters. If a patient in the group has no admission, PatTrac now names them before creating anything, instead of stopping part way through. For the HP clinic, group encounter patients have Weight and A1C fields.
Add Order Set no longer fails on long instructions, such as lab specimen instructions.
DPRP evaluation data file. A new export type creates the CDC Diabetes Prevention Recognition Program (DPRP) evaluation file from your DPP group sessions. Contact support to have it set up for your agency.
Translation services. Appointments have a Translation Services Needed field, filled in by online scheduling.
Fixes for errors in Add Activities, Add Estimate, Save Treatment Plan, long medication names from RxNorm, and the sexual history section of the encounter narrative.
Environmental Health
Septic pumping history. Septic applications have a new Septic Pumping tab where you can record each time the system was pumped: the Pump Date and the Septic Hauler who did the work. The hauler list shows active Rolodex entries marked as septage haulers.
Last pump date. The most recent pump date is shown as Last Pump Date in the septic permit information, and as Last Septic Pump Date on the property's Other Information tab. Both update automatically from the pumping history.
Inspection observations. Columns added to the Inspection Observations list are no longer hidden.
Billing
Claim diagnosis codes are now sent without the decimal point (E11.65 is sent as E1165), as the claim format requires.
Write-off batches now find adjustments for the batch's clinic only, when the batch has one.
Claim files for payers with a "/" in their name, such as BC/BS, are now created correctly.
Accounting and Purchasing
Vendors who are employees. Vendors have a new Employee checkbox. When it is ticked, the vendor's name is shown without the FMIS vendor ID.
FMIS import asks you to attach a file if none is attached, and no longer stops on short lines.
Purchase orders. Approval steps no longer leave the item and payment lists in an error state. The purchase order lists open for users who have no assigned division.
Credit card statements. Find Payments asks for the dates and card holder first.
Inventory
Inventory assets have a new Required Documents Attached checkbox, and Lost has been added to Disposition. "Transfered" is now spelled Transferred.
Grant Monitoring
A new Grant Monitoring section tracks grants: name, PCA, fiscal year, clinic, vendor and purchase order, dates, award amount, contact phone and email, and the web form the organization uses for its monthly submissions. Submissions, documents and notes are kept with the grant. The grants list shows the grants for your assigned clinic.
For administrators
Submit Ticket. Tools > Submit Ticket sends a support ticket straight from PatTrac, with an optional screenshot of the screen you are on. You see the screenshot before it is sent.
Security Incidents. Under Administration > Security, you can now record a security incident from first report to closure: what happened, the response, the breach assessment and notifications, and dated follow-ups. Access must be granted to the people who handle incidents.
ePHI fields on software. Software assets have a new ePHI / Security tab for the HIPAA application inventory: how the software uses ePHI, where it is hosted, who owns it, and its security controls.
Copy a role. Security roles can now be copied. The copy keeps every permission but none of the users.
Passwords. Saving an active user with no password now shows a warning.
Export Report and Find Problem Reports are back on the reports list.
Granting access: your administrator may need to give staff access to the new Septic Pumping, Grant and Security Incident screens.
Smaller changes
Double-click any picture on a record, such as a signature or a photo, to open it in a window you can resize and zoom. Looking at it no longer asks you to save.
Vital records appointment subjects now use the schedule type.
Text messages: a clinic with no text messaging account now gets a clear message, and patients who replied STOP are counted as skipped instead of as errors.
Typing a three-digit year into a date filter no longer causes an error.
Saving a report to Documents works when the report name contains a "/".
The Clinic Communications filter works with saved filters that refer to specific records.
Employee Tasks no longer appears in the New menu on calendar lists, where it caused an error.
`The PatTrac Blog button has been removed, and Changelog is now called PatTrac Updates.
