TranTrac — What's New

Changes to TranTrac, newest first.

Your version: 26.10.4.1, installed 10/04/2026.

This update covers everything since the last release notes (26.8.30.1, August 30). Every agency is on the same version again.

The short version

If you read nothing else:

  • The error box when searching the Clients list is gone. It mostly hit the first search after you had stepped away for a while.

  • Trip dates are right. Pickups on recurring appointments, and Allegany's 11:59 PM return trips, were landing on the day they were created instead of the day of the appointment. Fixed, and your upcoming trips have already been corrected.

  • TranTrac now tells you when an update is ready. If you leave it open all day, a bar appears at the top offering to restart into the new version. This will not start displaying until after we post the next update.

  • Saving your own list layouts works again.

  • A few things are worth checking in your existing records. See the "Worth checking" notes below.

26.10.4.1 — October 4, 2026

New

TranTrac tells you when there is an update. TranTrac already updates itself when you start it — but if you never close it, you never got the update. Now, while it is open, it checks every half hour. When a new version is ready, a bar appears across the top: "A new version of TranTrac is available. Save your work, then restart now to update?" Choose Yes and TranTrac closes and comes back on the new version. If you have unsaved changes, you will be asked about them first, and you can cancel. Choose No and it reminds you again in an hour. This will not start displaying until after we post the next update.

For administrators: see who is on an old version. Administration > Security > Users on Old Versions lists everyone at your agency whose last sign-in was on an older version of TranTrac than the current one — with the version they used, when they last signed in, and which computer. These are the people the update bar cannot reach (see "TranTrac not updating?" below), so it is the list to work through after an update. People whose accounts have been made inactive are left off.

Lock or sign out after a period of inactivity. An administrator can now set, on your Agency record, how many minutes of inactivity TranTrac allows and what happens then — lock the workstation or sign out. It is off until someone turns it on. A minute before it acts, TranTrac shows a warning; moving the mouse or pressing a key cancels it. Unsaved work is never thrown away — TranTrac will not sign you out while something is unsaved.

Two new client fields. Client is Pregnant and Healthy Smiles Client are now on the client record.

Fixed

The error box when searching the Clients list. Searching a list — most often Clients, usually the first search after stepping away for a while — could put up an error box with a long technical message. That no longer happens.

Recurring appointment pickups landed on the wrong day. When you generated appointments from a recurring appointment, every pickup trip was dated the day you generated them, not the day of the appointment. Generating a month at a time put the whole month's pickups on one day. Pickups now land on the appointment's own day, at the pickup time on the recurring appointment.

Recurring appointments came out with zero miles. Appointments generated from a recurring appointment lost their mileage and showed 0 miles. They now keep the mileage from the recurring appointment.

Searching the Appointments list. Any search on the Appointments list failed with an error about converting a date. Fixed.

Finding a physician by address. Searching the Physician drop-down by part of an address — a street number, for example — found only some of the matching providers, usually just one. It now finds them all.

Saving your own list layouts. Save view as, Update view, Update default view and Delete view all failed with an error. They work again — and saving a layout no longer saves anything else you had left unsaved on screen.

Saving a record opened from inside another record. Save and Close on a record opened from within another one — a trip from inside an appointment, for example — could fail with an error and lose your changes. Fixed.

Tab counts. Where tabs show how many items they hold, some tabs showed the number of records in the whole of TranTrac rather than on that tab. They now show the right count.

A few records that could not be saved. Ten agencies each had one questionnaire or appointment that could not be saved or deleted — it failed with an error every time. Those records were repaired.

Eligibility checks.

  • If something needed for the check is missing — the client's name or Medical Assistance number, or your agency's details — TranTrac now tells you exactly what to fill in, instead of failing with an error. A batch check skips clients with missing details and tells you how many it skipped.

  • When the state's eMedicaid service drops the connection partway through, TranTrac now tries once more on its own.

  • A check now gives up after 30 seconds instead of hanging for minutes, and the error says what the state's service actually reported. If the state's website blocks the request, the message says so — that one can only be fixed by the state.

  • Saving an old eligibility verification could overwrite the client's MCO with an older value. It no longer does.

Worth checking. A client's MCO could be replaced by an older value when an old eligibility verification was re-saved, or when clients were merged. If a client's MCO looks out of date, run a fresh eligibility check.

Text messages, if your agency does not use them. Trying to send reminders or retrieve the SMS log in an agency without text messaging set up used to fail with an error. It now says text messaging is not set up, and to contact support@pattrac.info if you would like it.

Alerts. Closing a screen that had shown alerts could cause an error, and an alert's title picked up an extra colon each time it was shown. Both fixed. Alerts also now update as soon as you save, instead of only when you reopen the record.

"TranTracIs starting..." The startup screen now reads "TranTrac is starting...".

What looks different

Users and Roles. For administrators: Users and Roles now open the current security screens, and the duplicate "(New)" menu entries are gone.

Behind the scenes

Updates to the components TranTrac is built on, including security fixes, and passwords for TranTrac's connected services moved out of the program itself.

Worth checking.

  • Mileage. Appointments generated from a recurring appointment before your agency's September update may show 0 miles. If you bill or report on appointment mileage, it is worth checking those.

  • Older trip dates. Only upcoming trips were corrected. Older recurring pickups — and older Allegany return trips — may still carry the date they were created rather than the appointment's date, so a past report grouped by pickup date may count them on the wrong day.

TranTrac not updating?

If someone at your agency is still on an older version, they are probably starting TranTrac from a pinned taskbar icon, which can skip the update check. Close TranTrac, reinstall it once from your agency's TranTrac install page, and start it from the Start menu from then on.

Administrators can see exactly who that is under Administration > Security > Users on Old Versions.

Reporting a problem

Please include:

  • Your agency

  • The version number at the top of this page

  • The screen you were on and what you were doing

  • A screenshot of the error message, if one appeared — this is the single most useful thing you can send
